Channels + HubSpot - integration tutorial
What is Channels?
We are a cloud-based business phone system, which facilitates communication with your clients. With our Chrome extension and mobile app, you can connect with your clients easily from any place. With this integration, you will always have your customers’ information at hand!
Connecting Hubspot with Channels
Step 1 - Creating an account
To connect with Channels, find the application in the HubSpot marketplace, then click on the Connect app button and grant Channels access to the requested permissions.
Once done you will be redirected to Channels where you can create your account.
Follow the steps and fill in the required information like email address, password, and company name.
Step 2 - Choosing a phone number
After you create your account you will see the prompt to choose a number. This number will represent your business. You will be able to answer customer calls with it and your contacts will see it whenever you'll be making a call.
The first phone number is free and it can be chosen from the list of over 60+ countries
Step 3 - Connecting with Hubspot
Now that you have completed the initial setup of your account you will be greeted with the success screen:
You can use the ‘Import’ button to initiate the synchronization of your Hubspot Contacts with Channels. It is the process of downloading your whole contact base. All of your contacts in Hubspot will be created in Channels as new ones. If you don't want to do it right away, you can skip it and do it later with a Resync button.
To make sure your Hubspot Contacts’ information is automatically updated in Channels activate the option Contacts automatic resynchronization. You can do it by going to the Hubspot page in the Integrations section and switching the toggle on:
Take note, that you can add multiple contacts to Hubspot with the same phone number. As we identify contacts by phone numbers, only one such contact will be imported into Channels.
How the integration works
The integration with Hubspot is a two-way type of integration. This means that Channels imports the contacts data from Hubspot and sends back all the registered calls you made via Channels App. Additional notes and data, that you can add using the manager panel, will also be updated.
Whenever you create a contact in Hubspot it will appear in Channels as well. Along with its details, such as name, email address, phone number, company name, and notes. These contacts will be updated in real-time, as long as you have an "automatic resynchronization" option enabled.
Making a call through the Channels app will create a new event in your Hubspot database. The call will be registered and the link to the recording will be added to the connected contact.
On the other end, the data imported from Hubspot will show up during the incoming call, alongside a link to the Hubspot contact page.
How can I make the call?
Channels allows you to call all of your contacts either directly from your browser using our Chrome extension or by using our mobile application. Links to both can be found directly in the manager panel.
You can find the Channels App in both the Apple App Store and the Google Play Store. After successfully signing in, please give the app all of the necessary permissions to start making calls with Channels wherever you are!
To initiate a call use our keypad and confirm with a green icon.
You can also dial straight from your own contacts list. Please choose Contacts from the bottom panel and tap on the person to dial. Simple as that!
Installing the Chrome extension is really easy. After clicking the install button you will be transferred to the Chrome Web Store. You can add the extension by clicking the “add to chrome” button. After the installation, you will be able to open the widget by pressing the Channels icon on the plugin toolbar.
Once the Channels Chrome extension is installed and linked with your account, you can start using it right away. It lets you both make and receive calls in one place. There are two ways in which you can initiate calls in your add-on:
- Manually dial number using the keypad
- Click to call numbers recognized by Channels on websites you visit
To make use of the click to call option, you need to activate it first. Click on the gear icon on the left-hand side to open the settings and go to the ‘Recognize phone numbers’ option.
Uninstalling Channels from Hubspot
You can uninstall the integration at any time if needed. To do so, please go to your Connected apps menu in Hubspot and initiate the process with the "Uninstall" button.
